New shop opening, taking over leased air conditioning: handover and cleaning inspection checklist
Contents
When opening a new shop or taking over old air conditioning in a sublease, first record equipment ownership, handover status and permission to carry out work, then arrange cleaning or fault inspection. Short-term cold air does not mean the interior is already clean, and it does not mean the equipment is suitable for the new layout and business use; do not decide to dismantle and wash everything or replace the units solely based on the opening date.
Keep a record of the equipment and condition at handover first
Obtain from the handover party any available model details, unit list, operating instructions, cleaning and repair records, and note any visible water stains, odours, unusual noises and locations that cannot operate safely. Do not only photograph the air outlet and ignore equipment hidden in the ceiling or controlled by the management office.
Costs and work authorization must be handled according to the lease, equipment ownership and mutual confirmation; it cannot be assumed that the landlord, former tenant or new tenant must pay. Before removing units, changing pipes or altering shared equipment, first obtain the required approval.
First eliminate hazards, then separate cleaning from repair
If there is a burning smell, smoke, tripping of breakers, water near electrical equipment or other obvious danger, stop using it first and arrange appropriate handling; do not repeatedly switch it back on just for handover testing. On-site photos can only help with arrangements and cannot confirm all hidden faults.
Dust, oil buildup and an unclear cleaning history may warrant a cleaning assessment; units that do not operate normally, repeatedly leak water or do not cool may also need inspection first. Standard cleaning does not automatically include parts replacement, refrigerant, drain modifications or full-system repairs.
The sequence of renovation and cleaning must be coordinated
Coordinate dismantling, sanding and other dust-producing work with the cleaning schedule to avoid the unit being contaminated by dust again immediately after cleaning. Protection methods should be handled according to the equipment instructions and work conditions; do not wrap an operating unit with plastic film, and do not spray water onto parts yourself.
If new partitions, shelves or signs block the return air, supply air or access panels, first confirm with the relevant parties and keep safe operating and maintenance space. Cleaning cannot replace reassessment of cooling load, power supply or an unsuitable installation location.
Provide the quotation provider with the new use and site conditions
Provide the shop type, number of units, overall site photos, ceiling height, grease or dust conditions, available shutdown periods and management office requirements. The workload for a new use may be different from the previous tenant's, and past usage alone is not proof that the new use will definitely be suitable.
If replacement or relocation is needed, separately confirm removal of the old unit, mounting location, pipework, drainage and electrical work. Basic cleaning, repair and installation each have their own scope; do not automatically treat one cleaning price as the total price for all pre-opening air conditioning work.
Accept according to the confirmed scope, not by using cleaning as a substitute for licensing requirements
Compare against the equipment and work list to confirm completed items, restored condition, any test run that can be arranged, and issues that still need follow-up, while keeping records before and after handover. Even when the opening timeline is tight, manpower, access and shutdown conditions still need to be confirmed first; an enquiry cannot be treated as a confirmed booking.
Cleaning service does not mean engineering certification for the new use, proof of meeting air quality standards, or approval for a business licence. If there are separate consultant, management office or department requirements, state the specific requirements first and confirm whether other qualified services are needed.
Common questions
If the air conditioning at a taken-over shop still blows cold air, is cleaning the filter alone enough?
No, you cannot judge based only on cold air. You should check the cleaning history, internal dirt buildup, model and any abnormalities, and then confirm whether filter maintenance, internal cleaning or fault inspection is needed.
Can cleaning the air conditioner before opening replace a licence or air quality certificate?
No. Standard cleaning does not equal engineering certification, licence approval or air quality testing; if there are specific requirements, they must be checked separately.
Must the new tenant always pay for cleaning and repair of inherited air conditioning?
It cannot be decided in general terms. First check the lease, equipment ownership, handover and work authorization, and confirm the fee arrangement with the relevant parties; if there is a dispute, seek appropriate advice.
Reference sources and applicable scope
This article provides a preliminary guide only and does not replace an on-site diagnosis. Original manufacturer functions and operation apply only to the corresponding model; please refer to your own unit's manual. For fixed electrical installations, inspection should be arranged by a registered electrical contractor.
