AC GUIDES

How to get a quote for commercial AC cleaning, and what equipment, quantity and site information to provide

Contents

The most common missing information in commercial quotations is only a photo of the ceiling air outlet or a total count. The appearance of an outlet does not necessarily match the unit type, and one outlet does not necessarily correspond to one separate unit; it is more useful to organise the equipment and site conditions first.

Organize by units, not just by counting air outlets

List any known split units, four-way cassette units, fan coil units, or other systems, and add visible model numbers and locations. If the name is unclear, there is no need to guess; provide a full-view photo and the management office equipment information, and let the service provider help confirm it.

Central systems may involve public equipment and tenant areas. You need to confirm cleaning responsibility and accessible components with the property management or system operator, and not treat all air outlets as independent units that tenants can arrange to service themselves.

Record the location and symptoms in each area

Organize quantities by floor, room or area, and explain whether there are water drips, odors, weak airflow or shutdown issues. Units with the same appearance may still have different conditions; cleaning and repair must be distinguished and should not all be treated the same.

Photos of the installation position should include the ceiling, access panel and the space beneath the unit. The size of the access panel, built-in cabinets and high-level conditions will affect the arrangement, but customers do not need to remove the ceiling or climb to unsafe positions just to take photos.

  • Area, number of units and known models
  • Photos of the overall location, access panel and passageway
  • Problems and usage time for each unit or area
  • Known system links and property management information

State access and admin requirements in advance

Please provide the business hours and power-off window, on-site contact person, work registration, water supply and drainage, and protection requirements. Without these details, the number of units alone may still be insufficient to confirm manpower, procedures and feasible timing.

If an invoice, cleaning certificate or specified record format is required, first ask what arrangements can be provided, and do not treat a general work record as proof for all statutory documents. Do not ask customer service to guarantee that all administrative or technical items are included before the equipment is checked.

Check the quotation scope before confirming the booking

Confirm which equipment, cleaning parts, and quantities the quote covers, and whether repairs, outdoor components, or additional safety work are included. Commercial systems and access conditions are different, so do not simply apply home multi-split discounts.

Photos are suitable for a preliminary assessment, but hidden parts, supports, and equipment condition may still need to be checked on site. A checklist helps reduce omissions, but it does not mean all work has already been confirmed remotely. Any additional work and charges should be confirmed before proceeding.

Common questions

Can the full cleaning charge be quoted from only a few ceiling air outlets?

Not necessarily. The actual unit, system and accessible parts must be checked; the number of vents does not necessarily equal the number of independent units. Equipment and management details can be provided, and on-site confirmation can be arranged if necessary.

Can multiple commercial units be priced using the residential rate list?

It cannot be applied directly. Commercial equipment, usage and work conditions differ, so a separate quotation is needed based on the model, quantity, location and confirmed scope.

Reference sources and applicable scope

This article provides a preliminary guide only and does not replace an on-site diagnosis. Original manufacturer functions and operation apply only to the corresponding model; please refer to your own unit's manual. For fixed electrical installations, inspection should be arranged by a registered electrical contractor.
