How often should commercial air conditioning be cleaned? Arrange maintenance by site
Contents
There is no one cleaning schedule that suits every commercial air conditioning site. Offices, restaurants and shops have different operating hours, pollution sources and unit loads, so the equipment condition should be checked first before setting inspection and cleaning arrangements.
1. First check how long it runs each day
Units that run for long hours or nearly all day may accumulate dirt and require different maintenance from units used only during certain periods. Foot traffic, frequent door opening, fresh air intake and other load factors should also be considered.
Do not decide the service cycle by venue name alone. Even for offices, usage intensity, surrounding works and equipment condition may require different intervals.
2. Oil fumes, dust and fibres can change how quickly dirt builds up
Oil fumes near the kitchen, renovation dust, street dust and fibres inside the premises may cause filters or parts to become dirty more quickly. Grease and ordinary dust may also need to be handled differently, so the environment should be explained first and the cleaning method should not be copied from other premises.
You may take photos of safely visible filter or vent conditions for comparison with the cleaning date; do not ask staff to open ceiling-mounted units or spray water on operating equipment as a test.
3. Set the right interval based on inspection records
- Record start time, last cleaning date, and how quickly the filter accumulates dirt.
- Watch for changes in airflow, odour, dripping and repair records.
- After the initial inspection, confirm which parts need cleaning or separate repairs.
- Adjust the next arrangement according to the manufacturer’s recommendations, equipment condition, and actual dirt buildup.
Weak airflow or insufficient cooling is not always caused by dirt; distinguish between cleaning needs and equipment faults, and do not treat a fixed cleaning frequency as a guarantee to solve all problems.
4. Regular visits do not mean a deep clean every time
A regular plan can include different inspections, filter cleaning and deep-cleaning arrangements. The scope of work, number of units, consumables and any extra work should be listed separately in the plan.
We can provide monthly, quarterly, half-yearly and yearly service frequencies. The number of inspections, the scope of deep cleaning and the fees for each visit are still confirmed under each individual plan. The number of site visits in a year cannot be directly taken as the number of deep cleans in a year, and it does not mean all sites are suitable for the same frequency.
5. Arrange shutdown and site preparation at the same time
Cleaning must be coordinated with safe shutdown, equipment access and site use. Confirm access arrangements, work area, furniture protection and management office requirements in advance, and coordinate a suitable time with the person in charge.
If the unit is installed in a high location, access is limited, or special access arrangements are required, explain the site conditions first, and do not assume that all work can be completed within the same time or cost.
6. What should I ask clearly when enquiring about plans?
List the model, quantity, site use, daily operating hours, sources of dirt, and periods when the system can be shut down, then confirm the work content for each visit, drainage handling, exclusions, and how faults will be handled. The cleaning plan does not automatically include parts replacement, full system repairs, or an emergency attendance promise.

How do I apply the guide to my own unit?
First check the brand, model and manufacturer’s instructions; this article is for initial assessment and enquiry direction only, and does not replace on-site diagnosis. Different models, work locations and existing issues affect the project scope, and you cannot directly copy the procedures from another unit.

Common questions
Does monthly maintenance mean doing a deep clean once every month?
Not necessarily. Monthly, quarterly, half-yearly or yearly are all possible service frequencies to enquire about, but the actual work items and number of inspections, filter cleaning and deep cleaning must be confirmed separately.
Can restaurants and offices use the same service frequency?
Do not copy it directly. Grease fumes, dust, operating hours, shutdown conditions, and equipment are different, so the assessment should be based on site conditions and building maintenance requirements.
Reference sources and applicable scope
This article provides a preliminary guide only and does not replace an on-site diagnosis. Original manufacturer functions and operation apply only to the corresponding model; please refer to your own unit's manual. For fixed electrical installations, inspection should be arranged by a registered electrical contractor.
